Mailbox Management

Unlimited Mailbox is a seamless email archiving system for both the administrator and the end-user.  Administration can set policies and easily manage the email archiving process.  For end-users it’s business-as-usual, as they can work in their normal email environment with no change to them.

Easy to Implement and Administer

Unlimited Mailbox automates policy-based archiving and allows administrators to set flexible "soft quotas" based on file characteristics such as size and delivery date. By applying soft quotas, administrators can automatically limit the growth of the mail server's mailbox file and improve performance.

Unlimited Mailbox is a policy based archive system. The authorized Administrator(s) sets the required archiving parameters according to the company’s business policies and compliance requirements. Criteria used in policy creation include age (how old before message is to be archived, how long to retain in archive) and size of e-mail.

Unlimited Mailbox integrates with the Directory Service (e.g. Active Directory for Exchange, eDirectory for GroupWise, NAB for Lotus Notes/Domino). Multiple policies can be established and made applicable to different groups. An Ordinal Number is assigned to each policy to determine which policy requirements will be applicable when a user is a member of more than one group.

A Familiar User Experience

One of the distinctive features of Unlimited Mailbox is that it permits end-users to continue to work in their regular e-mail environment. This means the end-user can work with their accustomed client interface or a WebAccess interface. Users have full-access to archived e-mails as they are retrieved right to the desktop from the e-mail archive. Logon and password access is not required to recover e-mails, thereby easing the burden on IT administration staff. Archived mail can also be accessed from remote locations.  Archived messages have a stub inserted for the original message. This stub has the same visual appearance as the original e-mail entry except that “(Archived)” is appended to the subject line.

Indexing / Archiving Message Properties

Unlimited Mailbox uses Lucene technology (same technology used by Google and Wikipedia) to fully index all messages, including all header information, dates, sender, to, copy, blind copy, subject, and body of e-mail and attachments.

Attachments: Numerous document types (for example: all html, text, Microsoft Office, and Adobe PDF) are fully indexed and searchable. Unlimited Mailbox indexes attachment filenames – search by filename is automatically included in the search capability.

The comprehensive indexing ability of Unlimited Mailbox means a complete range of search options, including Boolean, fuzzy, relevance, proximity, range, wildcard, term boosting, and grouping techniques, can be incorporated into the search function.

The Administrative Console provides access to pertinent archive information and settings. Administrators have access to server, user and archive details. A sample screenshot showing details for a particular user follows.

The below image outlines a typical user workflow when accessing a message archived by Unlimited Mailbox. The process can be described as follows:

End User Workflow

  1. Starting in the User’s Inbox, a message stub is selected to be viewed.
  2. A link is provided in the message stub that is selected by the User in order to access the original message in its entirety.
  3. The original message (and applicable attachments) is presented to the user in a Web browser window. This provides a set of actions that can be taken on the message (i.e. Forward, Reply, Reply with History, Search, Close).
  4. If an attachment is contained in the message, the attachment can be viewed by clicking the provided link.
